Stage Program FAQ
Our region has only a few minutes of stage time, but you’re asking for a 30-second teaser. Do you want us to record the entire performance?

No, we only need short clips that capture the essence of your performance in the 30-second teaser.

Is the teaser mandatory? Should it include part of the actual performance, or just the song and participants?

The teaser is optional but strongly encouraged, as it helps promote your program and attract more attendees. It doesn’t need to show the full program —funny bloopers or practice clips are fine. We welcome any creative content that highlights your performance or participants.

Can we ask for more stage time if needed?

We have allocated initial stage timing based on the number of participants registered for the retreat from each region. After registration closes, we may offer additional time if feasible. Stage time is limited to encourage networking and socializing, in line with survey feedback.

If someone from our region cancels, will our allocated stage time be reduced?

We will do our best to keep your allocated stage time unchanged unless there is a significant drop in participants from your region. Our goal is to ensure fairness and consistency while accommodating any changes in numbers.

Can I change aspects of my program after sending in the individual program details spreadsheet?

Yes, you can update the spreadsheet and audio/video files until May 31, 2026, which is the final deadline. The initial submission, however, is due by May 17, 2026.

Is our allocated time a single block, or can we split it?

Your allocated time is one continuous segment. Because total stage time is limited, we cannot split each region’s slot into separate parts. Any audio you submit — even if it includes multiple programs — must be in a single recording and one audio file.

Can we change when our region performs (Ex: Going 3rd instead of 2nd)?

We will share your performance time well in advance and coordinate with your contact for smooth scheduling. However, since we are managing multiple regions and stages, please avoid requesting time changes unless absolutely necessary.

What format should audio or video files be in?

For audio files, we prefer WAV or MP3 format. For video files, please use MP4 format.

Does the total time allocated include the program duration, setup time, and takedown time?

Yes, the total allocated time includes setup, performance, and takedown. Please keep this in mind during your regular practice.

The spreadsheet asks if any participants are under 12. Does this mean there’s a minimum age to participate?

No, there is no minimum age for participation. We collect age information to ensure children 12 and under are accompanied by an adult backstage before and after the program.

Do we need to bring all our props and setup items, or will some be provided on-site?

Yes, please bring the required props. If you need a table or chair for your performance, please inform the program team in advance.

Do we need to provide content for the MCs to introduce our program?

Yes, please send the program details, participants, choreographer, and any special mentions to the Program Team. They will share the necessary information with the MC.

If I want a slideshow or picture in the background during my performance, do I need to submit it?

Yes, please send your requests to the Program Team, and they will help accommodate them.

Can we MC our own programs?

No. The Retreat Stage Program Team will handle MC duties.
